OVERVIEW OF THE JOB
The Senior Student Services Administrator (SSR) serves as the operational backbone of the domestic student experience at CATS Academy Boston. This position is the go-to resource for students, families, and agents post-enrollment, ensuring a high-quality experience from arrival through graduation. The SSR coordinates key aspects of reception, attendance, residential life communications, and student record maintenance. Additionally, the SSR supports basic I-20 administrative processes, helping ensure compliance in coordination with internal teams. This role requires exceptional attention to detail, communication skills, and the ability to multitask in a student-focused, fast-paced environment.
MAIN RESPONSIBILITIES
1. Communication & Customer Service
● Serve as a central liaison for post-enrollment inquiries from students, families, and agents.
● Manage the student services inbox and provide timely responses or escalate concerns as appropriate.
● Log and track student issues in Shackleton; ensure follow-through and resolution in coordination with relevant departments.
2. Arrival & Onboarding
● Coordinate arrival logistics and onboarding tasks including welcome letters, ID setup, and email accounts.
● Support orientation events and ensure student systems and records are updated in Shackleton and UNIT-e.
● Confirm and update student contact information during arrival periods.
3. Attendance & Reception Oversight
● Supervise reception operations and ensure the front office is student-ready each day.
● Track daily attendance and communicate updates with academic teams as needed.
● Support student password resets, account issues, and general troubleshooting.
4. Residential Life Coordination
● Partner with residential life to log rooming changes, wellness notes, and housing-related updates.
● Ensure data integrity in the Reach system for permissions, check-ins, and room availability.
● Maintain a student presence on campus and identify students in need of support or follow-up.
5. I-20 Oversight & Administrative Compliance
● Assist in maintaining accurate I-20 records for domestic students requiring status support (e.g., transfer, change of status, extensions).
● Collect required documentation and support internal compliance checks.
● Coordinate with the appropriate compliance lead or international admissions officer for escalated I-20 cases.
6. Data & Reporting Support
● Ensure accurate and up-to-date student records in all key systems.
● Run attendance, contact, and service-related reports as directed by the Senior Manager.
● Support audits and data checks for enrollment verification, consent forms, and onboarding status.
PERSON SPECIFICATION
● Bachelor’s degree preferred
● 2+ years in school operations, administrative services, or front-office support
● Strong organizational and problem-solving skills
● Excellent written and verbal communication abilities
● Experience with school-based CRM or data platforms (Shackleton, UNIT-e, Reach) a plus
● Comfortable handling sensitive information with discretion Core Attributes
